Effective Date: June 16, 2026
At Maven Intel ("Company," "we," "us," or "our"), we respect your privacy and are committed to protecting your personal information. This Privacy Policy describes how we collect, use, and disclose information in connection with your use of the Aiva desktop application (the "App") and our related services.
Aiva is designed with a local-first architecture to maximize user privacy. By default, Aiva runs AI models locally on your device, and your inputs and the generated outputs are processed and stored on your own computer. Certain optional, clearly-labeled features connect to external services; those are described below so you know exactly when data leaves your device and where it goes.
1. Personal Information We Collect
We collect information in a few distinct ways: information processed locally on your device, information you provide when you sign in or contact us, and information transmitted only when you use an optional feature that requires an external service.
A. Information Processed Locally (Default)
- User Content (Chats, Files & Sources): When using standard local features, your chat inputs, uploaded files, ingested sources, and AI-generated outputs are processed by the on-device AI engine and stored solely on your computer's hard drive. We do not sync, view, or store this content on our servers.
B. Account and Identity Information
- Authentication (Auth0): Sign-in is handled through Auth0, our third-party identity provider, via your system browser (Universal Login). When you sign in, we receive an Auth0 account identifier and the profile details associated with your login (such as your email address and name). We use this to create and recognize your Aiva account.
- Account Record: Your account identifier and associated profile details are stored on our servers (
api.aivaresearch.com) so we can authenticate you and enable account-gated features. You can update account information from the App, or request deletion (see Section 5). - Customer Support Data: If you contact us for support, we collect your email address and the content of your message to resolve your inquiry.
C. Optional Features That Transmit Data Off-Device
These features are off or require a deliberate action by default. Data only leaves your device when you use them.
- Web Search & Page Extraction: If you enable web access and the assistant performs a web search or extracts a page, the text of your search queries, the objective/context for the search, and any target URLs are transmitted to our servers (
api.aivaresearch.com) and on to third-party search and content providers to retrieve results. These requests are authenticated with your account token and are therefore associated with your account. This data is processed to fulfill the request and is not used to train our models. - Image Generation: If you ask the assistant to generate an image, the image prompt text is transmitted to our edge servers (
edge.aivaresearch.com) to produce the image. - T.R.E.E. — Remote AI Inference (Opt-In): Aiva lets eligible users optionally route inference to a remote AI server instead of the on-device model, to run larger models. When enabled, the prompts and inference context for your turns are sent to the remote endpoint you configure (which may be our servers or a third-party AI provider of your choosing). The connection details you enter — server address, model name, and secret/API key — are stored locally on your device (in your operating system's secure credential store) and are sent only to the endpoint you specify. This feature is opt-in and is off until you configure and enable it. Note: while remote inference is used for generating responses, your stored chat history, files, and sources remain local and are not bulk-uploaded by this feature — only the context needed for each turn is sent.
D. Diagnostics and Analytics
- Error and Crash Reporting (Sentry): In production builds, the App uses Sentry to capture errors and crash diagnostics so we can detect and fix problems. These reports contain technical information (error messages, stack traces, device/OS metadata) and may incidentally include limited context captured at the time of an error. They are not intended to contain your chat content, and we do not use them to read your conversations.
- Product Analytics (Segment — Opt-In): If you opt in to analytics, the App uses Segment to collect aggregated, de-identified usage information such as device type, operating-system version, performance metrics, and feature-usage counts and flags (for example, message length and whether web access was on — not the text of your messages). Analytics are off by default and disabled in non-production builds. When you sign in, an account identifier may be associated with analytics events to distinguish users.
2. How We Use Personal Information
- To Provide Services: To authenticate your account, recognize you across sessions, and enable account-gated and optional features.
- To Provide Functionality: To process web search, page extraction, image generation, and (when you enable it) remote inference requests, and return results.
- To Improve Aiva: To identify bugs (via error reports) and, where you have opted in, to understand aggregated usage so we can optimize performance and prioritize features.
- To Communicate: To send administrative notifications, support responses, and policy updates.
3. Disclosure of Personal Information
We do not sell your personal information. We may share information in the following limited circumstances:
- Vendors and Service Providers that help us operate Aiva, including:
- Identity Provider: Auth0, for authentication.
- Search & Content Providers: Third-party providers used to fulfill web search and page-extraction requests.
- Diagnostics & Analytics: Sentry (error/crash reporting) and Segment (opt-in analytics).
- Remote Inference Endpoint (if you enable T.R.E.E.): The AI server you configure, which may be operated by us or by a third party you select.
- Legal Requirements: We may disclose information if required by law, such as a subpoena or court order, or to protect the rights and safety of Maven Intel or others.
- Business Transfers: If Maven Intel is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.
4. Data Retention and Security
- Local Data: You retain full control. You can delete your local data at any time by deleting chats within the App, uninstalling the App, or clearing your local application storage.
- Account Data: We retain your account record while your account is active and until you request deletion.
- Transient Request Data: Data sent for web search, extraction, image generation, and remote inference is processed to fulfill the request; we do not use it to train our models.
- Security Measures: We implement commercially reasonable technical, administrative, and organizational measures to protect your data, including Transport Layer Security (TLS) for network communications and storage of remote-inference credentials in your operating system's secure credential store.
5. Your Rights
Depending on your location, you may have specific rights regarding your personal information, including:
- Access and Correction: You can access and update your account information within the App settings.
- Deletion: You may delete your local data at any time. You may also request deletion of your account by using the in-app deletion tools or by contacting us. Deleting your account also instructs our identity provider to remove the associated login.
- Analytics Choice: You can disable opt-in analytics at any time in the App's privacy settings.
6. Children
Aiva is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from children under 18. If we become aware that we have collected such information, we will take steps to delete it.
7. Planned Features (Not Yet Available)
The following are on our roadmap and are not currently available in the App. This Privacy Policy will be updated before any of them launch, and they will not process your data until they do:
- Aiva Pro Subscription and associated billing.
- Cloud Backup of local data, intended to be end-to-end encrypted before leaving your device, with Maven Intel unable to read the contents.
8. Updates to This Policy
We may update this Privacy Policy from time to time to reflect changes in our technology, law, or business operations. The "Effective Date" at the top of this page indicates when the latest changes were made. We encourage you to review this policy periodically.
